We are looking for a Supporter Administration Assistant who can provide excellent service to our members, donors and visitors to ensure continued support for our cause. You will help with the day-to-day administration of all supporter journeys as well as being the primary point of contact for our volunteer-run on-site charity gift shop.

The Supporter Administration Assistant works closely with colleagues across the Trust’s Development Team to ensure effective administration on all aspects of the supporter journey.
Members, donors, volunteers and customers are all valued supporters of Durham Wildlife Trust. This role ensures an effective and high quality service is maintained at all times.

Individual Giving:

  • Deliver the administration of memberships from the point of recruitment to cancellation, ensuring attention to detail and professional standards are maintained at all times.
  • Produce and send accurate supporter communications including but not limited to membership packs and renewal letters, thank you emails and condolence cards.
  • Be proactive and deliver responses to supporter enquiries in a timely manner.
  • Co-ordinate data from supporter events and activity with the Trust’s CRM system to ensure effective communication and increased support.
  • Work with colleagues to develop creative materials (print, electronic) to promote membership of the Trust and to recognise supporter contributions.
  • Analyse membership data and input this into Supporter Development reports.
  • Complete supporter feedback telephone calls including welcome calls and lapsed membership reactivation calls.
  • Respond to reviews and feedback from supporters from online channels such as google reviews, raising concerns with management.
  • Provide administration for Trust donations, appeals and raffles.

Retail:

  • Support the shop volunteer team to achieve the Trust’s retail income targets.
  • Manage the day-to-day relationships with shop volunteers, ensuring they are well equipped, trained and feel looked after.
  • Support recruitment of new shop volunteers, ensuring professional standards are maintained at all times.
  • Ensure shop volunteers are well informed of Trust activity and encourage them to promote membership, events, campaigns and appeals.
  • Take responsibility for the monthly stock checks and ensuring the Trust’s till system and ecommerce platforms are functioning correctly.
  • Produce descriptions of retail products to be used to promote online sales and develop creative for social media and print promotion.
  • Highlight stock issues and volunteer concerns with the Supporter Development Manager.
  • Fulfil online shop orders within the agreed timeframe.

General:

  • Ensure all Trust supporter activities are compliant with all aspects of UK data management and protection legislation and operate within all other legislation that is pertinent to the role.
  • Maintain an understanding of the principles of health and safety in the workplace and partake in training as required.
  • To attend meetings and events as requested.
  • Undertake any other duties required by Trust management.
